We've been trying out CudaSign software; we have forms that the patient signs on a tablet. Once saved, the document gets emailed to us and it then gets uploaded to the their Crystal file. Seems to be working pretty well. My only concern is the size of the files and the resulting increase in the size of the database file. I guess time will tell! I wonder if it's saved as a pdf, wouldn't it take up the same amount of space as a scanned in laminated sheet would ? It seems to be comparable. I set up different file templates based on what the patient is coming in for, which seems to help keep the file sizes down. (example: CLS pt gets the CLS template which includes fees, screening, etc instead of everyone get the CLS fees)

We use the TOPAZ signature pad. Only one model integrates with Crystal, so Make sure you get the correct one. The model is igGem 5.7; model T-LBK57GC-BHSB. Directions for set up can be found here www.crystalpm.com/topaz.htmWe use this for Notice of Privacy Practices (HIPAA) as well as demographic verification. You can set it up so that Crystal automatically documents the date of last signature and a copy of the signature is stored in the files section of CPM Can we use this topaz for credit card signature?

Can we use this topaz for credit card signature? Its a good question, but I feel pretty comfortable saying that no you probably cannot use it for credit card capture. There would have to be a merchant services company out there who makes their platform compatible with the Topaz pad. That being said though, I do know that the merchant services business is extremely competitive. Their are thousands of companies vying for your business. If signature capture electronically for credit cards is important to you then I am sure someone out there offers credit card terminals with signature pads for free if your willing to sign up for their service, provided that you eventually return those credit card terminals when you cancel your service.. I would also consider looking into the new Ipad signature app that Crystal just released.. I have not used it yet, so I cannot attest to its functionality yet, but I know for a fact there are merchant service companies who integrate with Ipad apps so it could be something where you use Crystal app for signature at sign in and then flip over to credit card app to run card and collect signature.. Or you just go old school like us and have patients sign the physical receipt and keep it on file

Our clinic uses the Topaz Sig pad for our Financial Policy, HIPAA Forms, and informed consent. We use the XCharge integration as well and do not have capabilities to collect credit card signatures with the Topaz sig. pad. This is the only option for signature software at the moment, unfortunately, and we have had nothing but difficulty getting this to cooperate. The signature pad will often not collect the signature correctly (a line or blank instead) and will shut down the entire Crystal program if you attempt more than one signature at a time. We have been told that for the time being the only solution is to collect 1 signature, go to a different tab and then back, collect a 2nd signature, go to a different tab and then back, repeat... I personally keep paper forms handy and have to frequently close and reopen Crystal in order to get all three signatures to perform correctly. Even then! If the patient clicks the agree button more than once, the signature is instantly deleted. Yes, this sig. pad saves us paper - but it is also quite a headache. A quick tip I learned, as this was initially an issue (Signatures transmitting blank or just a line) for our office as well is to rework the signature box so it is more distinctive and let the patient know they must stay within the box with their signature or it wont work... The reason it transmits incorrectly is because the patient is hitting the "agree" button with the strokes of the pen while signing and it causes an error... On ours if the patient stays within the box it transmits correctly every time. I looked at the screenshot of the signature pad and saw that it includes demographic data. How did you put demographic data on the screen?

To optimize the database storage and not blow it up with files, all files need to be saved to an external source and only save the link in Crystal. We have for years had and edocs drive on our server which is alphabetized and each patient has their own folder. Inside their folder is where we scan/save documents and then only save the link in their Crystal file. Having picture and pdf files saved in the database causes one of two issues - 1) the database can get too full and have problems, and 2) if Crystal or the database crashes, all those files are gone. Not to mention, should you change to another EMR software, you are less than likely to be able to transfer them over. The files saved to a source outside Crystal are backed up and available for viewing/usage. Your pdf's should not be scanned directly into Crystal. We have not always done it that way, but I have seen what can happen when another office did the same thing. So now we do it the better way! Karen
