What have other offices done when scanning old paper records into Crystal in an effort to move away from storing paper charts?
Is it possible to scan old paper records off site onto a thumb drive, then add the scanned documents to the patient's file once back in the office?

Actually, I believe that would be a HIPAA breach of security.

We have Crystal recommended scanners and assigned a staff person to scan paper records directly into patient's file as they came in for appointments.

AMBIR SCAN IS YOUR FRIEND. I HAVE A CARD SCANNER (THAT DOES SCAN PAPERS TO BUT NOT MANY AT A TIME) AND I HAVE LARGER MULTI PAGE ONES FOR INSURANCE CHECKS IN OFFICE AND ONE FOR DR. RECORDS AT SCAN STATION/INVOICE SCANNER FOR CONTACTS AND LAB INVOICES. NOT EXPENSIVE, GREAT CUSTOMER SERVICE AND THEY EVEN SENT ME A NEW SCANNER, AFTER WARRANTY EXPIRED WHEN I HAD AN ISSUE.

Our Office is currently going from paper records to electronic and are running into issues with the allowed file size in crystal is there a way to change that allowed file size in crystal? Thanks, Sara

Thanks, Sara Are you seperating out the different papers, like hippa signatures, patient history forms, etc? Or are you taking an entire file and scanning "as is" so, if you don't want to split it up by the paperwork, you could do each year separately. I had ran into this before with a pt bringing in her old optomap, history forms and dr records from the state she was in before. I scanned in shared server files at first, then divided and made it work by seperating the different types of records, like all optomaps were scanned and labeled as such in description and categorized as Dr. Records in the drop down menu. FILE TREE SET UP AND DEFAULT "RIGHT CLICKS" will save you so much time! If you havent set up your defaults Nd "right clicks" yet, ztart there. It will make that project take half the time becasue there is no typing and it stays organized in a way that makes sense to YOUR office.

We hired some college kids to scan them in for us. They scanned them by type: exam sheets, glasses rx, receipts, etc. so that they didn't run into the file size issue.

would any of you be willing to share a screenshot of your file tree defaults? we're about to launch our scanning effort and i'm not 100% sure on how to best put it all together
