... I am trying to figure out how we can send emails to our patients with their records/Rx's attached. We have the email all set up, and I understand how to create pdf files using Crystal but I'm not sure how to connect the two so patients can have their information emailed to them.

you have to upload the records to the patient portal and they can access their portal and retrieve their records from there

You do not want to email records, Rx anything of that nature via email as it is not HIPAA compliant! Here is a video on how to set up the patient portal: Patient Portal To send Rx into the portal, you can use the CrystalPM PDF Printer: PDF Printer This will get the Rx into their files section. Right click on any file to upload it to their portal. If you have any questions I would be happy to go through it with you, just email me and we can set up a time. erica@crystalpm.com The email section of Crystal doesn't work like normal email. What you can do is email your recalls or mass emails to patients. Anything with PHI on it you should use the portal If you are looking for a way to communicate electronically with your patient, you can send them messages via the portal. They can also message you. Dr. T was under the impression that since email is now encrypted that we could now send Rx's through email. Thanks for the clarification. I knew how to make the PDF's with the printer, (which is a cool feature btw). I will double check with her that the portal is set up and go from there. Thank you for all your help.

Go to Admin>Website, in center of page you will see System Online Documents. The url is your link to the portal. Copy this link into an email. I recommend making a draft you can save and pull up when you send a patient to get their records. You can set the hyperlink to read Crystal PM Patient Portal, or something of your choice.

Now that we know how to send pt the info requested, how does the patient retrieve this info? I know they go to the patient portal. The Dr said she has set it up, just curious how to get to it now. If you have a website, put a link to your portal on your website too so they can find it on their own too. Marcia

another question...when we go to the portal it asked for User Name and password....is that ours or is this something the patient has to put in? We know how to assign passwords to documents we have sent to the portal for patients, but who/where is the user name?

We know how to assign passwords to documents we have sent to the portal for patients, but who/where is the user name? Go to Patient/Files tab/Online Portal (Add/Remove Files) button. A box will display with a place to enter the username and password or you can hit the default button for Crystal to assign a default username and password. It uses Last Name_First Name for the username and pt ID_dob for the password. There may be a slight delay because it has to communicate with the Crystal website. This is also where you can upload files to their portal. You can have the portal info printed on their invoice or you can email it to them. Yes, we can email them the info that can potentially give them access to all their medical records but we can't email them their records. Go figure. Marcia Attachments:

Quick question...
We have been striking out when it comes to sending records to the portal. I know how to make a pdf file using the Crystal PM printer and saving this to the patient files within Crystal PM. However, when we try to add this record to the portal nothing will add unless we have the pdf saved to the desktop of our computer. I've tried selecting the file and pushing add to website and nothing shows. I've also tried selecting the file and then pushing online portal (Add/remove) and nothing shows. What am I doing wrong? Please help.

Alright, I am having trouble figuring out how to mass e-mail patients with Crystal. I have the non-direct settings all worked out and set up and I know how to run the correspondence report to show patients with e-mail addresses. However, the problem I run into is that when I click the blue e-mail with office button, crystal does not use our gmail account it uses windows mail or something else (I am not really sure what it uses). How can I send mass e-mails from our gmail account that I set up in the Admin section?
