We haven't integrated with VSP yet. I was wondering if some you would give me your pros and cons of doing so. Our biggest reason for integrating would be the fees. Does the integration pull the VSP fees from VSP directly or do you still have to input them on the admin>insurance tab?

Pro's : Cuts time and data entry errors. This is the only Pro i cared about. TIME!!!!! It can take 10 min to enter a claim on eyefinity and it takes 1 min or less in the integration and the risk of entry errors are GONE! There is a few people that know how it works and many that have no clue, unfortunately. Spend less time with patient during billing since it is done for you as soon as you select the plan. Learning curve but VERY easy once you learn.
Con's : It cost 29 cents a claim because eyefinity wants you to view their website and look at the ads. There are a few bug, but not as many, that will not allow all claims to be processed via crystal. They are working, diligently, with VSP tech support to fix. You have a glitch in the vsp vs. default after any vsp order that forces you to select a description (which is empty) to move forward to materials or it shows up blank because VSP is ordered differently. There is a lot of admin back end work but once it's done, everything comes up, auto-calculated and ready to go so you don't sit with patient changing everything.
There is a way to help via crystal. They have my database and back end codes already done. you can use as an example, steal outright, or see how it all works and add and hide what your office uses since we all sell different products of choice, I am sure. This was one of my MUST when I was researching a software company. I am NOT disappointed in my decision. I had Officemate try to 'hard sell" me and that was enough for me to take them out of the running completely. The only thing they had better was free processing of VSP.

In regards to VSP, how do you post the charges since Crystal does not allow a negative number to be posted in the "insurance owes" column? Also, have you heard that as of Oct. 2015, all charges need to be posted as usual and customary? Not sure if this is gospel or not.

A topic near and dear to my heart. I've worked extensively with Brandon & Adam on this. Adam is "working" on setting some things up for new clients. You might want to speak with him prior to adding this feature. Don't know how much longer it will take him. We have all our charge backs entered in Admin/insurance/fees. They work great when there aren't special rules. If your opticians are sharp they will catch on how to modify things when options are covered so that your check matches from the beginning. If you would like to "talk" about it that would be easier than actually typing it all out. -Monica

We are trying to integrate with VSP now. So far, the big road block is the onerous task of building the default data tables. We do not have a clear understanding of how to do this. There are dozens of variables for hundreds of entries. Do we need to create duplicate billing charges for enhancements for the Choice plan and the Signature plan? Is it possible to create a default data table that could be imported into the data tables? Maybe a "team" effort from many CPM users would make for lighter work. Has anyone got any recommendations on how to perform this task efficiently?

Eric - Adam has been working on the "TASK" of all the linking. I'm not sure where he is on this endeavor as you can imagine it is a HUGE undertaking. I did it for our office a few years ago but just for the hundreds of lenses we use. The good thing is that once it is linked there are rarely updates other than new lenses to be put in. That being said, VSP did change one of their PAL lenses from an N to an O and I had to go and change all of them but the other items linked remained in place. We tried to minimize the codes we use - for example: the simplest one is AR-B (Anti Reflective Coating B) - we named it AR - B in our billing codes with our U&C fees. Under each of the different VSP plans the $ have been changed to reflect the charge back (negative) with the pt's responsibility. The only time our opticians have to change the $ on this one is if it is covered. If it is covered, they take the pt's resp less the charge back (in positive) and the result is the Service Fee which they enter for the INS EST. We combined things like the Hi-Index 1.53-1.60 (Trivex) for ALL the PAL's into ONE code since they are all the same reimbursement rate. Hope this helps a little. -Monica

I had to do this for lab charge backs in a government managed care for pt upgrades. it works just fine and make my expected monies valid. you have to add the negative amount first and than just keep going down the line with co-pays, insurance discounts and overage.

Eric no problem entering negative amounts due. VSP does take some math sometimes but this insurance was pretty straight forward. Pt doesn't get negative amount, insurance does. pt gets co-pays and the rest goes as a discount.

A Vsp Signature coverage may be $120 , while another patient's coverage may be $200. Does the vsp integration auto-calculate patients how much frame overage each different patient would pay? 2. And if the wholesale prices is below the wholesale coverage of vsp, does the software know the condition to auto calculate zero dollars overage even if the retail price goes above the list vsp retail price? 3. Does the vsp integration calculate all of the different exam and material copays , and patients out of pocket costs for the different materials such as antiglare b, c, and d? 4. It can differentiate between vsp signature plan and vsp choice plan?

You just add the "amount" covered (2.P.S. you should just add the WFA fee into insurance and difference into discount along with the 20% overage discount since the WFA=Whole Sale Frame Allowance is the only money you are actually going to see) and the discount to arrive at the Pt. fee. you would have to do EVERY frame in the inventory page for that system to work (which you can't actually do, anyway) but there is a VSP calculator that will tell you cost sans what is fully covered. You would have to subtract that yourself) Adding frame price is a SMALL price to pay for time and money saved on errors in data entry and or time spent on eyefinity doing same work twice. 3. you can add in material copay because exam copay is the only space to add copay to inside of crystal. 4. you make all plans VSP has as Plans drop down. I made Signature first and copied over to Choice and just changed what line items needed to be changed. You can make one for Access, as well, and assign the 20% overall discount without expecting anything back from insurance.

This thread hasn't been updated in a year-- but I wanted to catch previous poster's attention... Looking at implementing this in our office with the main goal being eliminating the double entry of frame orders into Eyefinity. We do ~90 VSP claims/month- so I think $45 or so/month is worthwhile for the optician time savings-- if it is a time savings. ? Have there been tables developed that would allow for easier admin setup? ? If we are not managing our inventory in Crystal- is it worth the integration or will there be a lot of manual entry? ? Is it seamless to get the authorization on eyefinity and only submit the claim through Crystal? (It doesn't seem worth it to get the authorization through Crystal?) Thanks for any feedback!

Caitlin - Adam is the man for the tables. - If you are building your orders through Crystal on the Prescriptions tab are your opticians entering the frame info there? If so, I believe it will pull that info over for your Crystal VSP integration order so there shouldn't be double entry. - We don't get our auths through Crystal either. We copy and paste the auth number into Crystal so it is there for the billing and to refer back to if there are questions.
We feel it is well worth it to bill via Crystal whenever there are glasses being ordered. It has saved a lot of time as well as efficiency in the office not requiring double entry.
