I want to back up my data off sife (online) can you tell me which folders/files I need to back up?

In most cases, it will be C:\Program Files (x86)\MySQL\data\easyopti (or C:\Program Files\MySQL\data\easyopti if you're using a 32-bit OS) - you back up the entire "easyopti" folder.
Some offices store their database on a D: drive or other drive letter. If you're not 100% sure, CALL US!

That's the only one! PLEASE make sure that your backup software is not running during business hours (while Crystal is in use).

if it does run, does it cause problems? I have it set up on continuous back up now but I can change it to just once a day

Yes, it can and usually does cause issues, including drastically slowing down Crystal as well as the real possibility of database corruption.

maybe that explains why crystal will shut down in the middle of me working on it. I will change it to back up once a day only then. thank you. so only that file needs to be backed up then, no other file. just want to be 100% sure so I don't lose any data

I like Carbonite. They've got great features along with a pretty stellar reputation. I've been recommending them for personal use for years and I know they offer packages that are HIPAA compliant.
One of the most important tips I can give you is to keep a local backup as well. Depending on the size of your database and connection speed, it may take 2-3 or even more days to fully back up. This means that if your hard drive were to fail 1) your backup could be up to 3 days old - you're losing 3 days worth of patient data and/or 2) you've got to re--download all of that data which could take a few days. Keeping an external hard drive connected to your server with nightly backups running will save you tons of time and trouble in all but the most extreme circumstances.
To set up a local backup, please contact the office once you have an external hard drive and we can schedule a task in Windows to back up every night at a certain time.

thank you. let me look into getting an external hard drive. that folder you recommend for me to back up is only 4GB and the date it shows last modified does not show today, which I would expect it show today as the last day modified since I am using crystal pm and creating new data today. does that seem right?

If you look inside the folder and sort by last modified date you should see some of the files showing todays date.

If your office has the database for Crystal on a drive other than the local drive, the best way to find out where the Crystal PM data is located, would be to review the information found in the My.INI file. This is located in C:/Windows/my.ini. In the screenshot here: screencast.com/t/W67FWiTG4dZb, notice the line item titled 'datadir'. The file path in this location is where your Crystal PM data is being stored and the correct file that needs to be backed up.
