Could you please change the insurance card scan setting so that all Files and Insurance photos could be PDF’s instead of one being JPG and the other PDF? We have had many staff over the years that are trying hard to remember to switch that back and forth and can’t remember, especially when it’s busy. So they often scan Files as JPG and we lose all data for that scanned file after the first page. I don’t know why the settings lose all secondary pages but they do with the JPG setting. Someone told me that the JPG takes a lot more room for storage so it would be best for everything if the setting could just be set to Files and that would scan appropriately as PDF for all needs whether Insurance Cards or Files.

actually for ID cards and insurance cards we prefer the JPEG file. you can't attach it as pdf file

Yeah, that's what I mean. It would be better if Insurance cards could be scanned as PDF because they are currently JPG only. When staff changes the scanner over to the JPG setting, and then forget to switch back to the PDF setting, every File scanned after that point gets saved as a JPG and only the first page is saved, all the other pages are lost. If Insurance cards and Files could both be PDF, that would make life easier and make sure we stop losing data.

You might check your folder where your scans go. The jpegs typically store each page in a separate file. You can combine them into a pdf file if the need arises and then use the Crystal pm printer to save it to the patient file. Convoluted, yes, but we have saved pages that we thought were lost by doing this.

Well.. I am only an avid computer geek, not a professional in the IT field, but my understanding of the PDF "under-the-hood" is that it's file structure is not suited to embed itself as a view-able image into applications. PDF's store strings of data in a fundamentally different way than do JPEG's. JPEG's are specifically for compressing and decompressing image data (NOT in a lossless fashion, such as a TIFF or PNG). A PDF needs to be "run" in order for its contents to be totally view-able, where as a JPEG's image data can be stored and embedded, and also variably scaled.
Conversely, I would not recommend storing documents or files, particularly ones with lots of medical information, as JPEGs. As I said before JPEGs are not a "lossless" compression, and will generally not be as good quality wise as a PDF would be in documents with lots of text or black and white contrast.
We don't scan many documents at our front desk scanners where we do most of the ID card scanning so we don't have the mix up all that often, but if it is happening a lot you could potentially just scan the ids into file page as pdf with documents and reference them there if needed, although its a bit cumbersome. I think the best option is to have a scanner at the front desk that is primarily for scanning cards as images. Use another scanner in the back office for scanning in documents like older records, referrals and letters. If you are still scanning in things like welcome forms, HIPAA forms, and Optomap forms I think in 2017 you could make a stronger case than ever that it is time to ditch those methods for online/digital methods. Just my 2 cents though.

I don't know how handy you are but my husband turned some cabinet trim scraps into a rig for a webcam that we use for photo IDs, pt photos and insurance cards. No need to change scanner settings it's small and works like a charm. Marcia
