When invoicing a patient to check-out for their appointment, how do you relay messages for follow-up appointments, or any additional notes from the doctor? Is the receptionist checking their final EHR tab to see of any notes? We are new to the check-out process and getting away from a paper route slip. The communication between doctor orders and front desk is tricky so I would appreciate any tips on how you do this in your office. Thank you!

We have a "pretend" file with a sheet attached to the front for every patient. It follows the patient from start to finish with notes, appts, special testing, etc.... Yes it's still paper, but we seldom miss these things because of it. :-)

We do too. We actually print off the patient quick view page. I have thought that we could get rid of this but im not sure we can. So can you tell me, does the doctor hand this sheet to the receptionist for check out? And then the receptionist invoices and selects the appropriate insurances and such for billing?

We have RTC (Return to Clinic) and Reason boxes on our A&P page in the record. The doctor or scribe selects time frame for clinic recall (1 day, 1 week, 1 month etc...) and the reason or type of appointment needed at that time. I have created a word document that, when ran with a schedule report at the end of each day, will go through each encounter of the day and give me the field values for each RTC and Reason entry, along with identifying patient information. This list is given to our front desk to call and schedule those follow ups the following day. We use the regular recall function for annual recalls though, and typically only use the RTC and Reason list for things like VF, OCT, FUNDUS, or other special testing. I will attach a photo and the word document. You could add those fields to your A&P page, then update the document to reflect your Field IDs instead of mine and use the same process if you think it would work for you guys. Good luck! we linked a note box on A/P to the r-slip notes so check out staff knows if we need to see the patient back and when.

Great idea. how do we link to RSlip notes? I am proficient in editing records but cant find a field ID, does this link differently?

I set some options in the F9 drop down for the Notes to billing section of the routing slip (rto 1 week, 6 mo dfe, fish oil, etc). The doc can select the ones that apply and we see it when we pull in the invoice.

Our Doctors create the route slip for exam, etc. Doctor or Assistant gives the sheet to Receptionist and they turn it into invoice, apply insurance benefits, schedule follow ups and any additional testing that is needed.

Hi Jamie, whichever field you choose to link to the R-Slip - under the description box in edit - click the ? box and find the right syntax which is routing slip notes (RSLIP_0) Hope that helps! Grace

Thanks for the great idea, im trying to implement it in our office but im running into an issue when i go to print the document. After the data is pulled from crystal it looks good on the computer but it ends up printing an individual page for each patient, how can i print it all onto one page? thanks again

This is a product of the way the merge fields are interpreted and communicated to MS Word from Crystal. For each patient it begins a new page. It needs the page break to delineate between when one patient ends and the next begins. In terms of printing there is probably not a great solution. Instead of printing them, I save them as a .pdf file so that the front desk can just open the pdf file on their computer and view it there with out ever needing to print. If printing is more convenient for you though, you could use the "Pages per Sheet" function in the print dialog box. After running the merge, go to the document then go to File-->Print and the "Pages per Sheet" dropdown should be at the bottom. 6 is probably the max you want to squeeze on one sheet if you want the text to still be legible.
