In our office I am one of three people responsible for submitting vision insurance claims, 2 opticians and I do contacts, but we also submit the exam only type as well. Currently we just mark a note in billing that the exam was submitted, the date and our initials. But going through the insurance receivables report takes forever, i have to click on all of the recent exams to make sure everything was submitted. Is there a less time consuming way? Like some way to flag and date when it was submitted, by who so i could not waste my time on it but also so I would know to look back if i noted it hadn't been paid in a timely fashion. Thanks!

I changed one of the flags on our schedule to say "Finished" and just check that whenever the patient's billing and chart are completely done. Then at least all you have to click through is the schedule.

We task specific insurances to specific opticians, with files as part of task now, you can go to the files and look under "submitted insurance paperwork" and KNOW it was done without much effort at all. It used to be free for all where everyone did their own but too much got missed. I said to task EVERY order, even the ones they do, so they don't forget. They are not 100% compliant but I am getting better checks, faster with this system in place. Before was chaos. I have my file tree turned on in files with specifics like auths, submitted, hippa signed, ect. this way, I know what is going on before i open a file. it has saved time and money. just an idea...
