We have online forms set up, but a problem we've encountered is people will visit our website and fill out the form without calling us to schedule an appointment. When we see that someone without an appointment has filled out the online form we will attempt to contact them but sometimes they don't call back and we end up with multiple people sitting in the "Import Patient from Web" box. We've also imported the web form data before a new patients appointment and when they no-show I'm left with an incomplete record. I figure if I delete the record the info they completed online will be unrecoverable, but if they call later to reschedule it's a pain to make them fill out the info again. How do other offices deal with these issues? Does everyone just wait a few weeks and then delete? Or is there a better way?

I just started using the online forms. I created a separate page within the medical records called online intake. My staff will mark the medical record as complete if the patient does not have an appointment the day the online forms are imported. I don't bother deleting the medical record for patients who no show or cancel. This way I still have the information should the patient reschedule.
