I have been running the recall reports and have noticed the recalls for missed exams are adding in on the dates the appointment is originally made. Is there a setting I missed/screwed up somewhere to auto add a recall or is it an employee error and a training issue?

I agree that the recall system is messed up, and needs some attention. When people show up to our office just to buy glasses, (no exam) they are getting recalls automatically! They didn't even get an exam. We were getting phone calls from previous optical customers to stop contacting them as they have never had an exam with us. Apparently the way crystal has it set up is that when the PATIENT is CREATED in the system, the recall is automatically added. This is silly. It should only be added AFTER a full exam. I was told there is a way to turn off the auto recall under defaults, but then no one is automatically added after their exams! It's a no win here, so we had to chose to leave the auto recall on. Now we just have to go and delete any necessary recalls at the end of each day. BUT, this has been happening for over a year, so now we get to go all the way back and take out the necessary recalls for the last 12 months too. What a complete waste of time.... Please fix this.

Do you have your Billing Codes set up to indicate which ones are Full Exams? You have to go to the codes that you want to consider full exams (for the purpose of recall) and check the Full Exam box. Then recall will update when that type of exam occurs. I haven't heard of any problem with that. Marcia

Check to make sure that you don't have a default recall set up in Admin->Defaults->Patients Page Defaults->Recall Type If you have *None selected as the default, a recall will NOT auto assign when you create a new patient.
I'll see if we can have some verbiage added to this section as I can see how it would be confusing.
edit - I agree with Marcia, the best way to assign recalls is to check off Full Exam within any billcodes

Does anyone else have 'Not Found' recalls showing up on patients? I set my recalls up 3 yrs ago and have not made any major changes, yet I continue to have these 'recalls' show up. Can't pull a report on them, it seems to indicate a changed/missing recall, but I'm befuddled as to what I do that creates them.

It is currently set to adult spec exam(Which is the recall I want...) Marcia-My billing codes are set to full exams. My staff is asked if they wish to create a recall at the end of billing. They say yes and I was none the wiser that a recall would be added ANY OTHER way. Maybe the verbiage should be adjusted to make it more user friendly or have an explanation as to how and where the information would be pulled from to keep people from making these errors in set up. This is another example of the "Why" instead of how.
