My office's optician is asking if anyone has practical suggestions about doing inventory. I printed off the new instructions using the scanner, but it seems like a large job. Would appreciate any input from either Crystal or other offices on what works for you!

yep. you know, they want practical application. I think they got stuck with the 'how to make sure we didn't miss anything' part. They did a partial inventory, but I think they weren't sure whether to accept the count or keep searching. I'm just the messenger here. I gave them those instructions a few weeks ago, not really sure what the problem is. Thought maybe another office had used them and had advice to offer.

Verify, Save, Scan EVERY frame, Compare to Existing, Check all, Update Inventory - it's that simple! But really, I'm an inventory nazi (can I still say that?)... Someone may give you a different way, but it's wrong... The only alteration that should be made is to do a manufacturer at a time, instead of all frames in the office. Then just be sure to check only the boxes next to the manufacturer instead of Check All

I could say I have a very large inventory in my office. It takes some blood, sweat and tears to get an initial count. The scanner option is great for small inventories. But I can have over 300 frames of just one manufacture and I carry multiple manf.
A combination of the scanner and then physically counting the frame to get a quantity is a way to do it.
No way around it, there has to be some counting on your optician's part.
I can tell you that once you have your count, then be absolutely picky on inventory. Everything frame coming in must have an invoice and make sure you are entering every invoice into inventory. At the end of the year should be a snap to verify inventory.

Many frames I get have a sticker that comes on the bag that the frame comes in. That sticker can be wrapped around the temple and used that way.
If you dont have a sticker to use you can make them through Crystal. Once you assign a UPC code to the frame you can print a label through the inventory page. I have not used this option but it is there.

I have found that the stickers leave gooey residue on the frames upon removal. Goof Off strips the color off the frames (so I've been told)... how do you remove the residue?

we print labels through Crystal, then affix the label to a butterfly tag that slides onto the temple. They do occasionally slide off, but for the most part work well.

I'm looking into ways to manage inventory and scanning products as the come in and go out. How are you placing the UPC on each frame? We've been using a Dymo Turbo 450 and Arch Crown DT 390 labels and the SO830 tags www.archcrown.com/productcategories.cfm?subcategory=11&StartRow=37&PageNum=4&rrl=1 but they slide off pretty easily. Deborah recently posted about a source for rat tail tags that work. crystalpm.proboards.com/thread/1221/dymo-turbo-450-labels-usingWe got the labels but hadn't started using them when my new optician started. She liked the idea of not having to mess with the sticky residue but then she noticed that the others did fall off fairly frequently. She said she just needed Goo Gone if we were going to use the rat tails so I got a big bottle and she's switching over. She's used it and says it doesn't mess up the frames so I'm hoping she's right. I think acetone could be a problem with plastic frames, not sure about alcohol. FWIW, the rat tail directions in the link above mention leaving the the top line blank but we used it and it fit. I think rat tails will be easier to read with a UPC scanner. I noticed that the SO830 tags that you weave the temple through get warped when you remove and it takes a little ore effort to get it to scan. Another option that we used for a while was to loop a thin ribbon (or string) around the temple and fold the label over it, catching the ribbon in between. It avoids the residue problem but my optician abandoned it and I don't remember why. I think it might have been too awkward to get it lined up properly so the tag was snug enough so it wouldn't slip off and/or that it would slide down toward the end of the temple and get in the way. Hello, I was wondering what you do when you a sell a frame that you have to order. Right now the optical manager is going back and editing the invoice voided the one line and putting in a new line for the frame received. This seems time consuming as well changes the invoice where the frame is down to the bottom, which sometimes makes it confusing because it doesn't match the paper chart order write up.

I'm assuming this in reference to frame orders for which there is no current SKU in your inventory. There is an option in Admin>Company>Billing called "Billing Frames Allows Free Text" which will allow you to free type the name, style #, and color into the line item at time of original check out which for most should suffice. If for some reason you just absolutely want the SKU on the bill then you will either need to call frame manufacturer and get SKU before you check the patient out, or edit the bill once it is received

We use Fames Data CD and a barcode scanner. When you input a frame on an order it asks you if you want to remove it from inventory and we scan in every frame before it's put on the board. Seems to work efficiently for us.
