Similar to the wait-list for scheduling, if we could have a contact lens tracking sheet through Crystal, that would be great. It could be under Admin or under Schedule, but it would just need to link to the patient, have a space for when the first contact trials were dispensed, and other spaces if others were given. When the patients contact prescription is finalized, we can manually remove them from the list. This would help us track patients that do not have finalized Contact Lens prescriptions, so we can keep on top of it to make sure they're coming back for follow-up visits until their contact prescription is finalized. We currently only use a word document with a table to track it, but more than one person cannot access it at a time. I know that there is a Contact Report, but if we have a "wait-list" for contacts instead of running a report, it would be more efficient for us as an office. I am sure other offices would use this as well, or could have ideas to add on to this.

You could add a grid to your medical record contact lens tab. EHR Settings> Edit Medical Record Templates....Add New Field...Custom Grid...there are options for CL Trial and CL Trial 2. I haven't used them, but you might give them a try.

The only thing is that would be housed in one patients chart. We would want to quickly be able to access a full list of patients that are not finalized for their contact lens prescription. And not have to individually go from patient to patient. We would add them to the list ourselves, but would like to be able to access the list without going into individual charts and without having to run a report.

I second this idea! Our current method is to create a quote in billing and add a note at the top right "CLs pending", then staff periodically runs a report to pull up all the quotes and scans through to see who's still pending and calls them. When they come back for a follow up and we finalize, they typically order so staff can hopefully catch and remove the quote so it no longer shows up in the report. This method requires us to remember to make the quote and then remove it so there's definitely room for error, but it's the best we've come up with so far.

Adding a "Status" field to the medical records and the Medical Records Report would be a great way to track this and any other thing you are waiting on/need to do for the patient: referral reports, records requests, whatever. If you don't check the medical record (top left) as completed, it is highlighted in the Medical Record Report as red. So you can see who needs attention in a quick glance of the report. You can also go directly from the report to the medical record in edit mode so you can update the CL info when the patient lets you know their preference. I love this report but it REALLY needs a status field so we can indicate WHY the record isn't complete so we don't have to look through the record to see why it hasn't been completed.

I just use the Task feature to track this, but a way to sort or color code within tasks certain things like contact lens "call if OK" patients or referrals, record requests, labwork and any other really common categories would be nice.

There is a "contact lens report" we use for this. We created a contact lens status of "pending" in the work order, when you run this report it will show you all of the pending patients. Works great!
