When patient is being checked out and invoice is being made, we have a prompt to upload medical record which is nice if the staff member knows that the doctor is finished with the chart. It would be nice if when prompted to upload, if the doctor has not checked "Medical Record Completed" check box, that the file upload is blocked and message back informing staff file is not complete. In my office, in most cases the chart is not complete as patient checks out. At end of day when charts are completed, doctor can then be instructed to click the upload button.

I thought I saw one before but I can't find it now. Is this a prompt you created yourself? If possible, you may want to just disable it to avoid popups altogether. Now that the Med rec report lets you bulk upload all completed records (that haven't already been uploaded), it may be easier to just run the report, complete the files and then hit the upload button and do them all at once. However, I don't know what happens in bulk upload if some patients don't have a password when it tries to upload. Marcia

I have been hitting 'yes', it is not prompting for user/pwd, but that's ok for now. I haven't seen whether it is auto setting one. I figure anything Crystal can help automate is a good thing.

I'm quickly approaching the point of no return but I'm not doing MU2 so far. It's too much of a hassle to set passwords and I haven't been able to come up with a way to get reasonable looking med record uploaded for all my patients without an excess of effort and I refuse to use the records that are automatically uploaded by Crystal. And then there's all the other crap. My time and mental well being is worth more than the incentive ;-). One less hassle to deal with in life. Now to just get past the point of no return so I can stop trying to figure out a way. So...if something pops up, staff is ignoring it. But I was thinking I saw some setting that turned it on/off. Marcia Company>Billing tab> Prompt for Upload Medical Records when creating an invoice. Sounds like you have it unchecked.
BTW, we aren't doing MU2 yet, either because it's all for naught if you can't get the patients to correspond back through the portal and we haven't come up with a sure way to do that (above board). We felt it's chasing the wrong thing to focus more on MU2 than on getting claims/billing paid.

Marcia and Karen, I actually turned off my prompt to upload medical records as most of the time when the invoice is being made, the record is not complete. I have tasked the doctors to upload when the record is completed. This eliminates this problem, but I'm giving my doctors one more thing to click. Marcia, you mentioned on the first comment that you can run a report, finish files and upload files all at once. Could you tell me how that is done?

I have tasked the doctors to upload when the record is completed. This eliminates this problem, but I'm giving my doctors one more thing to click. Marcia, you mentioned on the first comment that you can run a report, finish files and upload files all at once. Could you tell me how that is done? They added a new Medical Record Completed checkbox above the med rec tabs, just below the patient name. It is red when unchecked and green when checked. You can use that in combo with the medical records report to manage you records. When you run the report, incomplete records (unchecked) are highlighted in red and the Completed columns says NO. Clicking on any patient will bring you directly to that patient's medical record for that record date and in edit mode if it is from a previous date. You check the box when complete and go back to the Med Rec Report to find the next record. I like to offset the med rec report so an edge is exposed so I can click on it to easily bring the window forward rather than having to find the right tile in the Widows Task bar at the bottom of the screen. Note: I haven't actually uploaded medical records so I'm just going by what it says for this next part. Since the reports don't update with the changes, I believe you will have to run the med rec report again when you are done so the records will show as completed. (We really need a refresh button for reports!). Click on the Upload Med Recs button. A window will pop up that says it will Upload all Medical Records which are marked as complete and have not been uploaded before and you have to confirm that action. When I just tested it now, I had to click a couple of times before it popped up. The next time it popped up right away. No idea if the delay was because it was communication with the Crystal server or the click didn't register but you have to confirm before it will upload. WARNING: Based on what I experienced and some comments by others, it appears that all existing records are marked as completed when you first update to the version with the med rec completed checkbox. So...during the initial transition to the updated version, you may have records that are NOT completed that are checked as completed and presumably will be uploaded. You will have to use whatever method you used previously to determine that they are done. I assume, but don't know for sure, that only the records that show up in the actual report will be uploaded. I also don't know what happens if you try to upload a med rec when no user name or pw has been set. I thought I remembered getting some warning when that happens when uploaded from the invoice. Here's a screen capture of the med rec report and the upload confirmation window. Marcia Attachments:
