I was curious how other offices implement routing slips. It seems like it would save our bookkeeper some time, but we haven't figured out a good work flow yet that doesn't add a lot of administrative work and extra work on the opticians... Anyone use the routing slips and see a big benefit to efficiency?

Are you talking about setting up billcodes on the routing slip? I tried that in the beginning. Doing it within Crystal itself is extremely cumbersone. Exporting the file and editing it yourself it is extremely easy to mess up. I set up an Excel file to help generate a routing slip file. We used it for a while but maintaining it is a lot of work and we found it inconvenient to access. Once we went live with the EHR portion I had my exam codes on my template and let the front desk and optician optician deal with the materials side and they don't use it. On the invoice, is there a way to put an authorization number? It takes so long searching for one to claim.

On the invoice, is there a way to put an authorization number? It takes so long searching for one to claim. First, add the auth # under insurance notes (patients tab - insurance - insurance notes). When you are creating an invoice, in the box for invoice notes (top right) - click INS notes and it will bring it forward for you automatically.

So what does the 'authorization' box do on the insurance tab? Seems redundant to put the auth in there, then again in the notes. It should populate box 23 on the CMS form for prior auth number.

Karen that's exactly what it will do if you put the auth # in the box. the reason to put it under notes is for easy access when creating an invoice that it can populate on the invoice notes (which is where I would like it more than on the CMS form as most insurances like VSP, VCP are filed online so I have it for when I have to do research on claims).

Thank you so much for the quick response.
Also, I know we are supposed to be paperless but I still use a "fee slip" in addition to crystal. Is there a way to print out critical info for billing such as name, dob, ins id, ins company, auth#?
I changed my schedule to include that info but I don't see a print button that I can print out that info.

I just got crystal in March. I'm finding the billing to be very inefficient and cumbersome. Do you have a better way to check and claim outstanding insurances? Currently, I'm generating a report on Claims using claim status as an indicator on whether we posted a claim or not. Is there a status field that can indicate that the claim has been billed, not submitted, settled, internal review?

I noticed when I push ins notes to the invoice, it pushes everything. What happens when you have new authorizations for the following year. Do all of the authorizations get pushed?

We erase and update the new authorization # each year (the original auth # will be on the invoice notes with that particular invoice created).
To answer you previous questions:
1) You can certainly make a word document to include all the info you want for your patients coming in on a specific day (though we try and encourage you to go "paperless")
To create a word merge document - go to admin - ms word - generate template file/generate schedule template file/generate records template file (choose the appropriate file) - then copy and paste the info you want onto another blank word document. Once done, save that word document.
How the fun part - Go to schedule - pick any day - click send to word - open with the document you just created. If you have 10 patients on the schedule, it will print 10 pages, 1 page for each patient coming in.
2) Claims
What I did at my old office (obvious thing I used is the invoice notes - I put auth #, any conversation I had with the insurance company and just notes about any research done on this DOS) then I would run 2 reports - insurance receivable report and claims report (change type to invoice status) - I like using the invoice status because it will show by all insurance or a specific insurance. Invoice notes are right there so I know (especially for the vision claims) if I have filed it or not. All electronic claims I can tell by batch - added to batch, wrote to batch...etc.
